Immediate Opportunity | Full-Time Position (40 Hours Weekly)

We are looking for a detail-oriented professional to join our vibrant Finance team as a Finance Assistant.

ROLE OVERVIEW

As a Finance Assistant, your responsibilities will include:

  • Managing the receipt, organization, and updating of all Accounts Payable invoices, credit notes, and payments.
  • Understanding the Chart of Accounts to accurately code all Accounts Payable transactions.
  • Ensuring timely payment of authorized invoices at month-end.
  • Matching authorized Purchase Orders and delivery dockets with supplier invoices, ensuring accuracy in calculations.
  • Verifying that all supplier invoices are duly approved and correctly processed in the Accounts Payable system.
  • Preparing timely payments to suppliers, optimizing credit facilities and capturing entitled discounts.
  • Maintaining the Accounts Payable Ledger with precision.
  • Confirming that all invoices processed are legitimate contractual obligations of the hotel.
  • Transferring all invoices to the Accounts Payable ledger weekly.
  • Ensuring batch totals of processed invoices are accurately recorded by the system.
  • Reconciling subsidiary accounts payable ledger with the general ledger control total daily.
  • Producing Proposed Payment Schedules for the Financial Controller's approval by the 20th working day of each month.
  • Organizing and filing all unpaid and paid invoices systematically by supplier accounts.
  • Facilitating prompt payment of due invoices, leveraging cash discounts for early payments at month-end.
  • Submitting the accrual summary to the Financial Controller on the last day of the month for G/L incorporation.
  • Timely verification of room travel agency commission claims in collaboration with Front Office and Reservations.
  • Timely verification of Events agency commission claims in conjunction with the Events team.
  • Executing all directives from Senior Management efficiently.

Essential Skills, Knowledge, and Experience

  • Prior experience in a similar role within a 4/5-star environment is preferred.
  • Proficient in relevant systems such as Microsoft Office, Sun, and Opera.
  • Professional demeanor with a customer-focused approach.
  • Exceptional communication skills, both verbal and written.
  • Able to work collaboratively within a team and independently.
  • Demonstrates ownership and accountability for work responsibilities.

Interpersonal Skills and Experience

The ability to engage with guests and staff to project a positive image of the hotel while maintaining high standards of work under pressure.
