We are looking for a detail-oriented professional to join our vibrant Finance team as a Finance Assistant.

ROLE OVERVIEW

Your responsibilities as a Finance Assistant will include:

  • Receiving, organizing, and updating all Accounts Payable invoices, credit notes, and payments.
  • Familiarity with the Chart of Accounts to ensure accurate coding for all Accounts Payable transactions.
  • Ensuring timely payment of authorized invoices at month-end.
  • Matching authorized Purchase Orders and delivery receipts with supplier invoices, ensuring accuracy in calculations.
  • Verifying that all supplier invoices are approved and accurately reflect received goods before processing.
  • Preparing timely payments to suppliers, optimizing credit facilities and capturing entitled discounts.
  • Maintaining the Accounts Payable Ledger efficiently.
  • Ensuring all processed invoices are legitimate contractual obligations of the hotel.
  • Transferring all invoices to the Accounts Payable ledger weekly.
  • Confirming that batch totals of processed invoices are accurately posted by the system.
  • Reconciling subsidiary accounts payable ledger with the general ledger control total daily.
  • Producing Proposed Payment Schedules for the Financial Controller's approval by the 20th working day each month.
  • Organizing and filing all unpaid and paid invoices systematically by supplier accounts.
  • Facilitating prompt payment of due invoices, leveraging cash discounts where applicable.
  • Submitting the accrual summary to the Financial Controller at month-end for inclusion in the General Ledger.
  • Verifying and confirming all room travel agency commission claims in collaboration with Front Office and Reservations.
  • Checking and confirming all Events agency commission claims in conjunction with the Events team.
  • Following directives from any level of Senior Management as required.

  • Previous experience in a similar role within a 4/5-star environment is preferred.
  • Strong proficiency in systems such as Microsoft Office, Sun, and Opera.

  • Able to work effectively both in a team and independently.
  • Demonstrates ownership of responsibilities.

Interpersonal Skills and Experience

The ability to engage with guests and staff to project a positive image of the hotel while maintaining high standards of work under pressure is essential.
