We are looking for a detail-oriented professional to join our vibrant Finance team as a Finance Assistant.

ROLE OVERVIEW

As a Finance Assistant, your key responsibilities will include:

  • Receiving, organizing, and updating all Accounts Payable invoices, credit notes, and payments.
  • Familiarity with the Chart of Accounts to ensure accurate coding for all Accounts Payable transactions.
  • Ensuring timely payment of authorized invoices at month-end.
  • Matching authorized Purchase Orders and delivery dockets with supplier invoices, ensuring accuracy in calculations.
  • Verifying that all supplier invoices are properly received and approved before entering them into the Accounts Payable system.
  • Preparing timely payments to suppliers, optimizing credit facilities and securing entitled discounts.
  • Maintaining the Accounts Payable Ledger with precision.
  • Ensuring all invoices processed are legitimate contractual obligations of the hotel.
  • Weekly processing and transferring of all invoices to the Accounts Payable ledger.
  • Ensuring batch totals of processed invoices are accurately recorded by the system.
  • Reconciling subsidiary accounts payable ledger with the general ledger control total daily.
  • Producing Proposed Payment Schedules for the Financial Controller's approval by the 20th working day of each month.
  • Organizing and filing all unpaid and paid invoices systematically by supplier accounts.
  • Promptly paying due invoices to take advantage of cash discounts at month-end.
  • Forwarding the accrual summary to the Financial Controller at the end of the month for G/L incorporation.
  • Timely verification of room travel agency commission claims in collaboration with Front Office and Reservations.
  • Timely verification of Events agency commission claims in conjunction with the Events team.
  • Following directives from any level of Senior Management as required.

REQUIRED SKILLS, KNOWLEDGE, AND EXPERIENCE

  • Previous experience in a similar role within a 4/5-star environment is preferred.
  • Strong proficiency in systems such as Microsoft Office, Sun, and Opera.
  • Professional and customer-focused demeanor.
  • Excellent verbal and written communication skills.
  • Able to work collaboratively within a team and independently.
  • Demonstrates ownership of work responsibilities.

INTERPERSONAL SKILLS AND EXPERIENCE

The ability to communicate effectively with guests and staff to project a positive image of the hotel while maintaining high standards of work under pressure.
