We are looking for a detail-oriented professional to join our vibrant Finance team as a Finance Assistant.
ROLE OVERVIEW
Your responsibilities as a Finance Assistant will include:
- Receiving, organizing, and updating all Accounts Payable documents, including invoices, credit notes, and payments.
- Understanding the Chart of Accounts to accurately code all Accounts Payable transactions.
- Ensuring timely payment of authorized invoices at the end of each month.
- Matching authorized Purchase Orders and delivery receipts with supplier invoices, ensuring accuracy in calculations.
- Verifying that all supplier invoices are properly received and approved before entry into the Accounts Payable system.
- Preparing timely payments to suppliers, optimizing credit facilities and taking advantage of applicable discounts.
- Maintaining the Accounts Payable Ledger efficiently.
- Confirming that all invoices processed are legitimate contractual obligations of the hotel.
- Transferring all invoices to the Accounts Payable ledger weekly.
- Ensuring that batch totals of processed invoices are accurately recorded by the system.
- Reconciling subsidiary accounts payable ledger with the general ledger control total daily.
- Producing Proposed Payment Schedules for the Financial Controller's approval by the 20th working day of each month.
- Organizing and filing all unpaid and paid invoices systematically by supplier accounts.
- Facilitating prompt payment of due invoices, maximizing cash discounts at month-end.
- Submitting the accrual summary to the Financial Controller at the end of the month for G/L incorporation.
- Verifying and confirming all room travel agency commission claims in collaboration with Front Office and Reservations.
- Checking and confirming all Events agency commission claims in coordination with the Events team.
- Executing all directives from Senior Management effectively.

Required Skills, Knowledge, and Experience
- Prior experience in a similar role within a 4/5-star environment is preferred.
- Proficient in systems such as Microsoft Office, Sun, and Opera.
- Professional demeanor with a customer-focused approach.
- Exceptional communication skills, both verbal and written.
- Able to work collaboratively within a team and independently.
- Demonstrates ownership and accountability for work responsibilities.
Interpersonal Skills and Experience
The ability to engage with guests and staff to maintain a positive image of the hotel, while upholding high standards of work under pressure.
