The Team

The team is tasked with formulating HR strategies that align with the Firm's objectives and business goals, executing these through the design and implementation of HR policies, practices, and initiatives across all facets of personnel management, including professional development, recruitment, diversity, employee relations, compensation and benefits, and organizational change.

Scope of Responsibilities

  • Assist the Senior Payroll & Compensation Advisor with monthly outsourced payroll operations and benefits administration.
  • Play a vital role in the annual salary and bonus review processes, as well as the yearly benefits renewal alongside the Senior HR Systems and Management Information Analyst.
  • Provide coverage in the absence of the Senior HR Systems and Management Information Analyst and Senior Payroll & Compensation Advisor.
  • Act as a super-user of core HR, payroll, benefits, and appraisal systems, serving as the primary contact for pay and benefits inquiries.

HR and Payroll Systems and Processes

  • Serve as a super-user of HR, payroll, and benefits systems, addressing any inquiries related to compensation and benefits by monitoring the payroll inbox.
  • Manage HR system user access and set up self-service functionalities.
  • Assist the Senior Payroll & Compensation Advisor in preparing monthly payroll and benefits checks and the annual benefits renewal process, being the first point of contact for any salary or benefits-related questions.
  • Support the Senior Compensation and Benefits Manager during the annual salary and bonus reviews, including generating reports and preparing documentation.
  • Conduct regular data integrity checks and data cleansing of the HR and Payroll systems in collaboration with the Senior HR Systems and Management Information Analyst, ensuring prompt resolution of any data issues and necessary updates to relevant processes.
  • Assist with the annual Gender Pay Gap analysis alongside the Senior HR Systems and Management Information Analyst and Senior Compensation & Benefits Manager by providing payroll data and implementing actions based on our internal assessments.
  • Support the Senior HR Systems and Management Information Analyst with data import and export tasks, such as holiday adjustments and salary and bonus reviews.

HR Management Information

  • Create and generate ad-hoc reports as requested by HR team members, Managing Partners, Directors, and other leaders within the firm.
  • Assist the HR Systems and Management Information Analyst in producing monthly reports for the Management Board, HR Team, and Departmental Managing Partners, ensuring accurate and timely presentation and distribution.
  • Support the Senior HR Systems and Management Information Analyst with data analysis related to engagement and appraisal systems, as well as practicing certificate renewals and Equality, Diversity & Inclusion reports to aid their strategy.

Payroll

  • Assist the Senior Payroll & Compensation Advisor with monthly payroll processing, including preparing variable inputs for the outsourced payroll provider and coordinating with the HR Operations team for instructions.
  • Support the annual P11D process by collating and coordinating data transfers to the payroll provider with the Senior Payroll & Compensation Advisor.
  • Manage new starter checklists and P45s for starters and leavers, ensuring timely communication with the payroll provider.
  • Address ad-hoc payroll inquiries from employees as they arise, escalating to relevant personnel when necessary.
  • Assist the Senior Compensation and Benefits Manager with job code mapping for all roles on Willis Towers Watson, conducting annual reviews in line with salary assessments and aiding in the mapping of new positions for the Recruitment team as needed.
  • Complete salary and benefits benchmarking surveys for the Senior Payroll & Compensation Advisor's review.

Compensation

  • Assist the Senior Compensation and Benefits Manager in preparing draft salary and bonus review information.
  • Support the Senior Compensation and Benefits Manager and Senior Payroll & Compensation Advisor in drafting salary and bonus review communications.
  • Compile draft salary benchmarking data for annual salary reviews for the Senior Payroll & Compensation Advisor's review.
  • Assist in the preparation and dissemination of communications from the Compensation team.
  • Address ad-hoc inquiries from employees as they arise.

Benefits

  • Prepare and upload benefit membership reports.
  • Review monthly provider reports and invoices, conducting initial assessments.
  • Assist with the annual benefits renewal project, collating policies and documents, and publishing finalized benefit communications to staff throughout the year, as well as organizing benefits fairs and pension presentations.
  • Research new benefits and compensation structures, including reviewing staff survey results related to compensation and benefits.
  • Assist the Senior Compensation and Benefits Manager in reviewing and updating benefit-related policies.

Person Specification

  • An HR Assistant/Administrator with a focus on payroll and benefits, seeking their next opportunity.
  • Exceptional attention to detail.
  • Experience in business services within a legal or professional services environment is preferred.
  • Advanced proficiency in MS Office applications: Word, Excel, PowerPoint, Outlook.
  • Strong verbal, listening, and written communication skills.
  • Ability to maintain focus and organization.
  • Collaborative working style with team members.
  • Excellent customer service skills.

Education and Qualifications

  • Qualified to GCSE standard, Grade C (or equivalent) in Mathematics and English is essential.

Special Aspects

This role supports flexible working arrangements, and applications will be welcomed from individuals seeking to work 0.8 FTE across any working pattern, as well as full-time.

The expected working hours for this position are 9:30 am - 5:30 pm, but the successful candidate should be committed, flexible, and prepared to work beyond standard office hours if necessary, in response to client demands. Adherence to the firm's agile working policy is required, which allows for home working but mandates a minimum number of days each week in the London office.
