The Team

The Human Resources Team is tasked with formulating HR strategies that align with the Firm's objectives and operational goals, implementing these through the design and execution of HR policies, practices, and initiatives across all facets of personnel management, including professional development, recruitment, diversity, employee relations, compensation, and organizational transformation.

Scope of Responsibilities

  • Assist the Senior Payroll & Compensation Advisor with monthly outsourced payroll operations and benefits administration.
  • Contribute significantly to the annual salary and bonus review processes and the yearly benefits renewal alongside the Senior HR Systems and Management Information Analyst.
  • Provide coverage in the absence of the Senior HR Systems and Management Information Analyst and Senior Payroll & Compensation Advisor.
  • Act as a super-user for core HR, payroll, benefits, and appraisal systems, serving as the primary contact for inquiries related to compensation and benefits.

HR and Payroll Systems and Processes

  • Serve as a super-user of HR, payroll, and benefits systems, managing inquiries related to compensation and benefits through the payroll inbox.
  • Manage HR system user access and set up self-service functionalities.
  • Support the Senior Payroll & Compensation Advisor in preparing monthly payroll and benefits checks and the annual benefits renewal process.
  • Assist the Senior Compensation and Benefits Manager in conducting annual salary and bonus reviews, including report generation and documentation preparation.
  • Conduct regular data integrity checks and cleansing of the HR and Payroll systems, collaborating with the Senior HR Systems and Management Information Analyst to resolve data issues promptly.
  • Support the annual Gender Pay Gap analysis with the Senior HR Systems and Management Information Analyst and Senior Compensation & Benefits Manager by providing payroll data and implementing corrective actions based on internal evaluations.
  • Assist the Senior HR Systems and Management Information Analyst with data import and export tasks, such as holiday adjustments and salary and bonus reviews.

HR Management Information

  • Create and generate ad-hoc reports as requested by HR team members, Managing Partners, Directors, and other leaders within the firm.
  • Assist the HR Systems and Management Information Analyst in producing monthly reports for the Management Board, HR Team, and Departmental Managing Partners, ensuring accurate and timely presentation and distribution.
  • Support the Senior HR Systems and Management Information Analyst with data analysis related to engagement and appraisal systems, as well as reports for practicing certificate renewals and Equality, Diversity & Inclusion initiatives.

Payroll Responsibilities

  • Assist the Senior Payroll & Compensation Advisor with monthly payroll processing, including preparing variable inputs for the outsourced payroll provider and coordinating with the HR Operations team as necessary.
  • Support the annual P11D process by gathering and coordinating data transfers to the payroll provider.
  • Manage starter and leaver processes, ensuring new starter checklists and P45s are accurately processed and sent to the payroll provider.
  • Address ad-hoc payroll inquiries from employees as they arise, escalating issues to relevant personnel when necessary.
  • Assist the Senior Compensation and Benefits Manager in job code mapping for all roles, conducting annual reviews in line with salary assessments, and aiding in the mapping of new positions for the Recruitment team.
  • Complete salary and benefits benchmarking surveys for review by the Senior Payroll & Compensation Advisor.

Compensation and Benefits

  • Assist the Senior Compensation and Benefits Manager in preparing draft salary and bonus review materials.
  • Support the Senior Compensation and Benefits Manager and Senior Payroll & Compensation Advisor in drafting communications related to salary and bonus reviews.
  • Compile preliminary salary benchmarking data for annual salary reviews for the Senior Payroll & Compensation Advisor's review.
  • Assist in the preparation and dissemination of communications from the Compensation team.
  • Address ad-hoc inquiries from employees as they arise.

Benefits Management

  • Prepare and upload benefit membership reports.
  • Conduct initial reviews of monthly provider reports and invoices.
  • Assist with the annual benefits renewal project, compiling policies and documents, and distributing finalized benefit communications to staff throughout the year.
  • Research new benefits and compensation structures, including reviewing staff survey results related to compensation and benefits.
  • Assist the Senior Compensation and Benefits Manager in reviewing and updating policies related to benefits.

Person Specification

  • An HR Assistant/Administrator with a focus on payroll and benefits, seeking their next opportunity.
  • Strong attention to detail.
  • Experience in business services within a legal or professional services environment is preferred.
  • Proficient in MS Office applications: Word, Excel, PowerPoint, Outlook.
  • Excellent verbal, listening, and written communication skills.
  • Ability to maintain focus and organization.
  • Collaborative working style with team members.
  • Strong customer service orientation.

Education and Qualifications

  • Qualified to GCSE standard, Grade C (or equivalent) in Mathematics and English is essential.

Special Aspects

This role supports flexible working arrangements, and applications are welcomed from individuals seeking to work 0.8 FTE across any working pattern, as well as full-time.

The expected working hours for this position are 9:30am - 5:30pm, with the successful candidate expected to be committed, flexible, and prepared to work beyond standard office hours when necessary. Employees will be required to adhere to the firm's agile working policy, which allows for home working while requiring a minimum number of days each week in the office.
