Administrative Support Specialist

Pertemps Northampton is seeking a highly organized and detail-oriented Administrative Support Specialist to join our team in the Real Estate department. As an Administrative Support Specialist, you will play a critical role in providing administrative support to our team, ensuring the smooth operation of our office, and maintaining the highest level of customer service.

Key Responsibilities:

  • Transaction Support: Assist fee earners with the preparation of transaction documents, data rooms, extranets, and engrossment bundles, ensuring accuracy and timeliness.
  • Client Communication: Handle client inquiries, respond to emails, and provide exceptional customer service to internal and external stakeholders.
  • File Management: Maintain accurate and up-to-date files, databases, and case management systems, ensuring seamless access to information.
  • Financial Transactions: Process payments, invoices, and billing, ensuring timely and accurate financial transactions.
  • Office Operations: Manage office supplies, maintain a clean and organized workspace, and ensure the efficient operation of office equipment.
  • Team Support: Assist with team management, organization, and coordination, ensuring a collaborative and productive work environment.

Requirements:

  • Administrative Experience: Previous experience in an administrative role, preferably in a legal or real estate setting, is highly desirable.
  • Organizational Skills: Proven ability to prioritize tasks, manage multiple projects, and maintain a high level of organization in a fast-paced environment.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to build strong relationships with internal and external stakeholders.
  • Technical Skills: Proficiency in MS Office, with experience in data management and case management systems.
  • Discretion and Confidentiality: Ability to maintain confidentiality and handle sensitive information with discretion.
