Overview of the Production Team:

The Production Department is integral to the successful execution of our events, ensuring that all physical components are delivered safely and efficiently. This operational team, based in London, is divided into two main areas, each led by a dedicated Head of Department:
  • Exhibitor Production: This segment manages all production aspects related to exhibitors, such as booth construction, artwork installation, technical assistance, logistics for art shipping, and health and safety protocols.
  • Fair Production: This area oversees the broader elements of the event, including infrastructure, food and beverage services, contract management, and overall site management.

Role Summary:

The Production Partnerships Coordinator will play a vital role within the Fair Production team, reporting directly to the Partnerships Production Manager. This position is focused on the coordination and administration of production-related activities for partner engagements across our events.

Key Responsibilities:

  • Facilitate and document meetings, ensuring follow-up actions are communicated effectively.
  • Develop and maintain production timelines for partnerships.
  • Regularly update and distribute the Sponsor Production Manual to partners.
  • Collaborate with the Partnerships team to gather necessary information.
  • Assist the Partnerships Production Manager in managing deadlines and tracking submissions.
  • Support scheduling and coordination of production resources.
  • Maintain organized records of Sponsor Production files before and after events.
  • Provide additional administrative support as needed.
  • Work with the Partnerships Production Manager to enhance project tracking and implementation practices.

Additional Information:

  • Some travel may be required for events.
  • Extended hours may be necessary during peak project timelines.

Qualifications:

  • Experience in a fast-paced environment, preferably within events or the arts.
  • Strong client service skills and ability to maintain relationships with external stakeholders.
  • Prior experience in administrative or coordination roles.
  • Proficiency in Microsoft Office, especially Excel.

  • Excellent communication and organizational skills.
  • Ability to adapt and pay attention to detail.
  • Self-motivated with a strong sense of responsibility.
  • Proven problem-solving abilities.
