About the Production Department

The Production team is responsible for executing all physical components of our events, ensuring safe, timely, and successful delivery. This operational team, based in London, consists of two main divisions, each led by a Head of Department:

Exhibitor Production – focuses on all production aspects related to exhibitors at our events, including booth construction, intricate artwork installation, technical support, drafting, floor planning, art shipping logistics, and health & safety management.

Fair Production – encompasses all other areas of the event, including infrastructure builds, food and beverage management, contract oversight, and site security.

Each event has a Production Manager who reports to the Head of Fair Production, responsible for all Fair Production elements and coordinating with various departments across Endeavor. The Exhibitor Production Department collaborates across all events but is more involved in US events where we do not have a single stand-building vendor.

The Role

This position falls within the Fair Production team and reports to the Partnerships Production Manager, who in turn reports to the Head of Fair Production. The Production Partnerships Assistant is tasked with coordinating and managing production-related elements of partner activations at all events. This role supports the Partnerships Production Manager in ensuring the successful execution of all on-site activations.

Key Responsibilities

  • Coordinate and participate in meetings, taking minutes and following up on actions with team members.
  • Prepare and manage the Partnerships Production timelines.
  • Maintain and update the online Sponsor Production Manual for partners.
  • Liaise with the Partnerships team for necessary information.
  • Assist the Partnerships Production Manager in managing deadlines and tracking submissions.
  • Support coordination and scheduling for production-related activities.
  • Maintain organized Sponsor Production files with detailed record-keeping.
  • Provide additional administrative support to the Partnerships Production Manager and Head of Fair Production as needed.
  • Collaborate with the Partnerships Production Manager to develop and maintain best practices for project tracking and implementation.

Knowledge & Experience

Mandatory

  • Experience in a fast-paced, high-pressure environment, preferably in events or the arts.
  • Proven ability to deliver excellent client service and maintain strong relationships.
  • Prior experience in an administrative or coordination role.
  • Proficiency in Microsoft Office, particularly Excel.

Desirable

  • Health & Safety qualifications or experience.
  • Experience in large-scale public events.
  • Clean Driving License.
