Role Overview:

The Partnerships Production Coordinator will play a vital role within the Fair Production team, reporting directly to the Partnerships Production Manager. This position is crucial for the seamless execution of partner activations across our events.

Key Responsibilities:

  • Organize and participate in meetings, documenting minutes and tracking follow-up actions.
  • Develop and oversee the timelines for Partnerships Production.
  • Maintain and distribute the online Sponsor Production Manual to partners.
  • Collaborate with the Partnerships team to gather essential information.
  • Assist the Partnerships Production Manager in managing deadlines and tracking submissions, including plans and permits.
  • Support scheduling and coordination of production logistics, including staffing and transportation.
  • Keep meticulous records of Sponsor Production files before and after events.
  • Provide additional administrative support to the Partnerships Production Manager and Head of Fair Production as needed.
  • Work with the Partnerships Production Manager to establish and refine best practices for project management.

Additional Information:

  • Travel may be required for up to two weeks for events.
  • Extended hours may be necessary to meet project deadlines.

Qualifications:

Essential:

  • Experience in a fast-paced, high-pressure environment, preferably in events or the arts.
  • Proven ability to deliver excellent client service and maintain strong external relationships.
  • Prior experience in an administrative or coordination role.
  • Familiarity with stakeholder engagement.
  • Proficient in Microsoft Office, especially Excel.

Desirable:

  • Health & Safety qualifications or experience.
  • Experience with art fairs or large-scale public events.
  • Valid driving license.
  • Experience managing multiple contractors.
