Position Overview

We are pleased to announce a rewarding opportunity within the Diabetes/Endocrinology division at University Hospitals of Derby and Burton NHS Foundation Trust for a motivated individual to become a vital member of our scheduling and reception team.

The successful candidate will be adept at managing all aspects of appointment scheduling, addressing issues, and responding to related inquiries.

This role encompasses a variety of responsibilities, including the arrangement of new and follow-up appointments, managing clinic schedules, processing cancellations, and addressing inquiries from patients, family members, healthcare professionals, and administrative staff. The individual will also oversee GP and patient inquiries for all clinics and manage the e-Referral Service.

Key Responsibilities

  • To respond to telephone calls in a courteous and professional manner at all times, utilizing effective communication and interpersonal skills to engage with patients, families, caregivers, and both clinical and non-clinical personnel at all levels.
  • To ensure that all calls are answered promptly, adhering to the established greeting protocols.
  • To regularly check and respond to emails throughout the workday, ensuring that all inquiries are addressed without delay.
  • To efficiently handle queries from GPs and consultants regarding patient appointments and clinic details.
  • To accurately update the hospital system with patient cancellations and document the reasons for these changes immediately.
  • To maintain a direct booking system by coordinating dates with patients, GPs, or secretaries during phone interactions or in accordance with booking protocols.
  • To confirm all agreed appointments or admissions in writing, providing necessary information to the relevant parties.
  • To ensure that standards are upheld for patients receiving notifications or acknowledgments of their appointments.
