Medical Office Coordinator

About the Role
We are seeking a highly organized and detail-oriented Medical Office Coordinator to join our team at Stapenhill Medical Centre. As a key member of our administrative team, you will play a vital role in supporting the smooth operation of our medical practice.
Key Responsibilities
- Sort and prioritize clinical post for the GP, ensuring timely and efficient processing.
- Extract relevant information from clinical letters and update patient notes accordingly.
- Arrange appointments, referrals, tests, and follow-up appointments for patients, ensuring seamless communication and coordination.
- Monitor and respond to incoming emails, taking prompt action to address patient inquiries and concerns.
- Communicate effectively with patients, either in person, over the phone, by letter, or via email, providing exceptional customer service and support.
- Perform various secretarial tasks, including urgent referrals to other healthcare providers and summary requests.
- Retrieve and file patient records and documents as required.
- Ensure new patients are accurately registered onto our clinical system in a timely manner.
- Action repeat prescription requests received via various channels.
- Manage the loaning and return of blood pressure machines, adhering to established protocols.
- Perform other duties as required by management and GP Partners, demonstrating flexibility and adaptability.
Requirements
- Good general standard of education, including Maths and English qualifications.
- Ability to touch type and possess strong computer literacy skills.
- Excellent communication and interpersonal skills, with a professional telephone manner.
- Able to prioritize work effectively and manage multiple tasks simultaneously.
- Strong keyboard and computer skills, with experience in filing systems (paper and electronic).
- Ability to work well in a team environment and under pressure, with a customer-focused approach.
- Desirable: experience working within a GP practice, hospital, or other medical environment, as well as knowledge of medical terminology and patient information systems.
