Role Purpose

The primary objective of this role is to support the Secretary team in ensuring that all Company Secretariat functions are executed efficiently and effectively, while maintaining strict adherence to legal and statutory obligations for the Company and its subsidiaries.

Key Responsibilities

  • Engage in various ad-hoc legal and Secretariat projects, along with regulatory research.
  • Assist in the upkeep of statutory registers and regulatory submissions for the Group and its subsidiaries, both domestically and internationally.
  • Aid in the preparation of documentation for commercial tenders.
  • Support the organization and preparation for subsidiary AGMs and board meetings.
  • Draft quasi-legal documents, including shareholder resolutions, board minutes, powers of attorney, and other standard documents as required by the Legal and Secretariat teams.
  • Help maintain internal records for the Secretariat & Legal departments, along with general administrative tasks.
  • Collaborate with external service providers, such as notary publics and registered agents, on a global scale.

  • Eager to pursue a career in Company Secretariat, including working towards a professional governance qualification.
  • Capable of thriving under pressure, effectively prioritizing tasks to meet deadlines.
  • Professional and approachable, demonstrating a proactive attitude when interacting with Directors, senior management, colleagues, and external suppliers.
  • Self-motivated, while also being a strong team player.
  • Proficient in Microsoft Office applications, particularly Word, Excel, and PowerPoint.
  • Committed to integrity and high ethical standards, consistently acting with discretion.
