Business Operations Coordinator

**Job Summary**
Macildowie Recruitment and Retention is seeking a highly organized and detail-oriented Business Support Officer to join their team. As a Business Support Officer, you will be responsible for providing administrative support to the Executive Assistants and other departments, ensuring the smooth operation of the office.
**Key Responsibilities**
- Provide exceptional customer service by being the first point of contact for all incoming inquiries, including answering phones, managing the joint inbox, and recording enquiries onto the system.
- Assess and triage all enquiries to identify the most appropriate customer service pathway.
- Ensure all GDPR and confidentiality measures are in place, handling complex confidential and sensitive matters that require coordination of responses both internally and/or with partner organizations.
- Support general HR processes, such as new starter processes, induction preparation, and liaising with departments to ensure equipment availability and system access.
- Take accurate minutes of stakeholder meetings, distribute them in a timely manner, and follow up on meeting actions to ensure deadlines are achieved.
- Manage a variety of financial processes, including handling petty cash requests, raising purchase orders, and ensuring payment.
- Provide administrative support to the Executive Assistants, including photocopying, collating reports, distributing mail, and preparing meeting packs.
- Organize, develop, and maintain efficient and confidential filing systems and other computerized systems.
- Support the Senior Leadership Team with administration requests.
- Manage the Gifts and Hospitality Register.
- Be responsible for the administration elements of various company schemes.
- Publish documents onto the website.
- Work as part of a team to collectively manage the reception between the hours of 9.00 - 5.00 Monday to Thursday and 9.00 - 4.30 Friday.
**Requirements**
This is a temporary ongoing role working 37 hours per week and is office-based. The ideal candidate will have excellent communication and organizational skills, with the ability to work independently and as part of a team.
