8.30am to 5.30pm, Monday to Friday

Role Overview:


The Client Relations Coordinator is essential in managing client agreements, nurturing positive client interactions, ensuring adherence to compliance standards, and supporting the overall success of the company's operations.


Your primary responsibilities will include:
1. Serving as the initial point of contact for clients, consistently providing exceptional client service and handling all incoming communications professionally.
2. Addressing daily inquiries from clients, Operations Managers, Engineers, and External Contractors.
3. Generating work orders for all client requests and related tasks.
4. Communicating with clients regarding the status of ongoing tasks (engineer visits, service calls, parts delivery, etc.).
5. Coordinating all engineering appointments and quoted work, assigning engineering resources to tasks while ensuring service level agreements are met.
6. Contacting client sites to schedule all visits and triage calls to minimize unnecessary trips and achieve resolutions over the phone when possible.
7. Applying for necessary permits and equipment rentals to ensure task completion.
8. Collaborating with the Contract Administration team to oversee the daily engineer work schedule, ensuring workloads and routes are optimized for efficiency and cost-effectiveness while meeting client KPIs.
9. Keeping the engineer schedule updated with holidays, appointments, and any engineer absences.
10. Producing daily, weekly, and monthly reports on open client requests, highlighting any issues to the Contract Administration Supervisor.

Strong Administrative Background:
Demonstrated experience in an administrative capacity, showcasing proficiency in office processes and systems.

Exceptional Client Service Skills:
A proven history of delivering superior client service, with excellent communication and interpersonal abilities.

Detail-Oriented:
A sharp eye for detail and the capability to identify errors or discrepancies in documentation.
Scheduling Experience (Preferred): Experience in managing appointments and calendars is preferred but not mandatory.
