Position Overview

The successful candidate will deliver a thorough and effective administrative support service to the Urology Division. It is crucial for the individual to demonstrate initiative and sound judgement, utilizing their expertise while upholding confidentiality at all times. The role will serve as a compassionate and understanding point of contact for all patients and stakeholders. Additionally, the individual will oversee the daily training and management of other administrative staff.

Key Responsibilities

  • Provide a comprehensive and confidential administrative support service for the department/team.
  • Handle and relay complex information on a daily basis, exercising initiative and judgement based on acquired knowledge and experience when addressing inquiries of both clinical and non-clinical nature.
  • Accurately transcribe from audio or copy type from various documents, including letters, emails, reports, and any other written correspondence as requested by the Office Manager.
  • Act as a primary contact for service users, ensuring effective communication by overcoming any language or other barriers. Address queries and initiate appropriate actions, considering the sensitive nature of the information involved.
  • Utilize various Microsoft Office applications, including Outlook, Word, PowerPoint, Excel, and Access, to produce clinical letters and other relevant documentation.
  • Supervise daily activities of secretarial and clerical staff, allocating and monitoring tasks, and being responsible for the training of Secretary trainees.
  • Develop and maintain an efficient individual filing and patient tracking system.
  • Assist in the collection and provision of statistical data as required by the team and other healthcare professionals.

Qualifications

Essential

  • Good General Education (e.g., GCSE English and Maths A-C) or equivalent.
  • Business Administration NVQ level 3 or equivalent experience in an administrative setting.

Experience

  • Proven experience as a Secretary.
  • Experience in public interaction or customer service.
  • Proficiency in a range of Microsoft Office applications (e.g., Word, Excel, and Outlook).
  • Experience with IT systems.
  • Strong organizational skills.
  • Able to demonstrate initiative and manage unpredictable situations.
  • Capable of working under pressure and multitasking.
  • Able to meet deadlines effectively.
