We are seeking a dedicated, proactive, and resourceful individual to join our team in a fixed-term role providing Executive Assistant support to our Chief Operating Officer at Sheffield Children's Foundation NHS Trust.

The ideal candidate will demonstrate a high level of initiative and sound judgement to effectively manage their responsibilities. The position demands the ability to thrive in a dynamic environment, requiring exceptional communication skills and proficiency in the Microsoft Office suite. You will be expected to maintain composure while managing multiple tasks with tight deadlines.

Key Responsibilities

This role is primarily based at Sheffield Children's Hospital, with the possibility of remote work depending on service requirements. It offers a chance to enhance your skills and experience by supporting the Executive Directors and Senior Management Team.

  • Diary Management: Utilize your expertise and independent judgement to effectively organize and maintain the diaries of Executive Directors, coordinating appointments and meetings while liaising with all relevant parties efficiently.
  • Liaison: Serve as the first point of contact for clinicians, staff, and external stakeholders, including representatives from various organizations, ensuring effective communication and handling of sensitive issues.
  • Meeting Coordination: Organize and facilitate both internal and external meetings, preparing initial agendas and ensuring timely distribution of necessary documents.
  • Correspondence Management: Handle incoming and outgoing mail, ensuring urgent communications are flagged and addressed appropriately in the absence of the Executive Director.

Qualifications and Experience
  • 6 GCSEs at Grade 4 or above, including English Language.
  • NVQ Level 4 in Business Administration or equivalent experience.
  • Proven experience in a complex environment, particularly in managing diaries and supporting senior personnel.
  • Experience in a healthcare setting is advantageous.
Skills and Attributes
  • Excellent written and verbal communication skills.
  • Strong organizational abilities and the capacity to prioritize tasks effectively.
  • Proficient in Microsoft Office and other relevant IT systems.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong interpersonal skills for effective collaboration with colleagues and stakeholders.
