Site Services Manager

We are seeking a highly skilled and experienced Facilities Coordinator to join our team at CBRE Enterprise EMEA. The successful candidate will be responsible for managing the delivery of site services, resolving issues, and ensuring high standards are maintained for staff and clients.
Key Responsibilities:- Relationship Building: Develop and maintain strong relationships with the landlord House Reception team to ensure seamless communication and collaboration.
- Site Services Management: Oversee the delivery of site services, including post and delivery, cleaning, vending management, office services, waste management, and hard services, in line with account processes and SLA's/KPI's.
- Financial Management: Control and manage site financial budgets, ensuring accurate forecasting and timely submission of financial reports.
- Purchase Order Management: Raise and manage purchase orders, and facilitate the completion of Funding Client Requests (FCR's) through to closure.
- Contractor Management: Manage and maintain relationships with third-party contractors, ensuring compliance with QHSE requirements and completion of inductions and QHSE paperwork.
- Compliance and Risk Management: Ensure full compliance with QHSE requirements, and identify and mitigate potential risks to the site and its operations.
- Health and Safety: Complete required monthly health and safety documents, including workplace inspections, hazard reporting, self-assessments, and safety observations.
- Compliance Tracker Management: Maintain and update the compliance tracker for the site, ensuring all necessary documentation is up-to-date and compliant.
- Work Order Management: Monitor and manage site work orders, ensuring account KPI's are met and deadlines are adhered to.
- Meeting Room Management: Manage and maintain meeting room bookings and set-ups, ensuring seamless coordination and communication with clients.
- Business Continuity Planning: Support the coordination and testing of business continuity planning for the site, ensuring all necessary procedures are in place.
- Equipment Maintenance: Ensure all equipment is maintained and operated in a safe and efficient manner.
- Customer Satisfaction: Establish and maintain customer satisfaction through proactive service delivery and communication.
- Communication and Liaison: Communicate and liaise with clients, stakeholders, and internal teams to ensure seamless coordination and delivery of services.
- Project Support: Support and communicate with clients and stakeholders on out-of-scope supplier projects, ensuring successful delivery and coordination.
- Performance Management: Maintain performance standards to ensure customer expectations are achieved and exceeded.
- Site Information Management: Maintain accurate and up-to-date site information across all CBRE platforms, including SI7, Smartsheet, Vantage, MYHSE, E-logbooks, Harbour, and Adaptive.
- Relationship Building: Develop and maintain successful working relationships with clients, stakeholders, and internal teams.
- Reporting and Administration: Submit weekly utilization reports, and assist with hospitality requests and e-logbook management.
- Car Parking Management: Manage the car parking badging system, ensuring seamless coordination and communication with clients and stakeholders.
- Continuous Improvement: Identify opportunities for service improvement and cost-effective ways of working, and implement changes as necessary.
- Emergency Response: Respond to ad-hoc out-of-hours calls and emergency scenarios, ensuring excellent communication and service delivery.
