The Role

This position is a full-time, 10-month fixed term contract based in one of our UK offices, with hybrid working options available, including remote work.



Key Responsibilities:

  • Providing comprehensive secretarial support, including drafting documents such as letters, emails, and patent specifications.
  • Managing personal and team inboxes, processing correspondence (both physical and electronic), updating our case management system, and acknowledging receipt where necessary.
  • Ensuring accurate and daily upkeep of the computerized case management system, adhering to workflows, generating standard correspondence from templates, and coordinating with Records and Accounts departments, along with our sister company.
  • Preparing official forms for UK, European, and other patent applications, as well as design applications when required, utilizing online filing software, processing official fees, and ensuring accurate reporting.
  • Organizing and prioritizing personal workload while maintaining composure in a dynamic work environment.
  • Strictly following Withers & Rogers processes and procedures, along with client-specific protocols where applicable.
  • Creating and maintaining documentation to capture processes developed for key clients.
  • Accurate preparation and processing of invoices, utilizing e-billing systems as necessary.
About You
To be considered for the role of Intellectual Property Administrator, you should possess:

  • Proven experience in patent administration.
  • Strong communication skills with the ability to engage effectively with all levels of internal and external stakeholders.
  • Meticulous attention to detail and a commitment to high-quality work.
  • Capability to balance and prioritize tasks, remaining composed during busy periods, and proactively assisting team members. Ability to manage an attorney's emails, assess urgency, and take appropriate action.
  • Proficiency in Microsoft Office Suite, particularly Outlook, Word, and Excel (essential), with a preference for familiarity with case management systems and experience in following/generating standard procedures and templates for repetitive tasks.
  • A willingness to learn and a proactive approach to involvement.
  • The ability to work independently as well as collaboratively within a team.
