Job Summary

We are seeking an experienced Administrative Manager to join our team at Bilfinger Berger SE. As an Administrative Manager, you will be responsible for overseeing the day-to-day running of the office administrative activities, ensuring the smooth operation of the office.

Key Responsibilities

  1. Provide comprehensive support to the Project Team, assisting in daily office needs and managing general administrative activities.
  2. Support the Managers within the business as well as the office staff, ensuring effective communication and collaboration.
  3. Coordinate and schedule appointments, meetings, and travel arrangements, ensuring timely and efficient execution.
  4. Develop and maintain a filing system, ensuring accurate and up-to-date records.
  5. Liaise with Document Control, ensuring compliance with company policies and procedures.
  6. Assist in the preparation of regularly scheduled reports, providing valuable insights and analysis.
  7. Maintain office policies and procedures, ensuring adherence to company standards.
  8. Order office supplies, ensuring a well-stocked and efficient office environment.
  9. Maintain contact lists, ensuring accurate and up-to-date information.
  10. Book travel and meeting arrangements, ensuring seamless execution.
  11. Submit and reconcile expense reports, ensuring accurate and timely processing.
  12. Provide general support to visitors, ensuring a welcoming and professional environment.
  13. Act as the point of contact for internal and external clients, ensuring prompt and effective communication.
  14. Liaise with executive and senior administrative assistants, handling requests and queries from senior managers.
  15. Manage the site office facility, liaising with BUK Facilities manager and suppliers/maintenance team.

Desirable Criteria

  • Proven experience as senior administrative assistant or office manager.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment.
  • Proficiency in MS Office (MS Excel / Word and MS PowerPoint, in particular).
  • Excellent time management skills and the ability to prioritize work.
  • Strong attention to detail.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.
