Job Summary

Bilfinger UK is a leading engineering and maintenance provider, supporting customers across various industries. We are seeking an experienced Office Administration Manager to join our team.

Key Responsibilities

  • Support the management team and office staff in their daily tasks.
  • Provide administrative support to the Regional Management Team.
  • Develop and maintain a filing system, ensuring all documents are up-to-date and easily accessible.
  • Liaise with Document Control to ensure compliance with company procedures.
  • Organize and schedule appointments, meetings, and travel arrangements.
  • Plan and take detailed minutes of meetings.
  • Assist in the preparation of regularly scheduled reports.
  • Maintain office policies and procedures, ensuring all staff are aware of their responsibilities.
  • Order office supplies and maintain contact lists.
  • Book travel and meeting arrangements, and submit and reconcile expense reports.
  • Provide general support to visitors and act as the point of contact for internal and external clients.
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
  • Manage the site office facility, liaising with BUK Facilities manager and suppliers/maintenance team.

Desirable Criteria

  • Proven experience as a senior administrative assistant or office manager.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment.
  • Proficiency in MS Office (MS Excel, Word, and PowerPoint).
  • Excellent time management skills and the ability to prioritize work.
  • Strong attention to detail.
  • Strong organizational skills with the ability to multi-task.
