Job Title: Office Administration Manager

Job Summary:

Bilfinger UK is seeking an experienced Office Administration Manager to oversee the day-to-day running of our office administrative activities. The successful candidate will provide comprehensive support to the wider Project Team, assisting in daily office needs and managing general administrative activities.

Key Responsibilities:

  • Support the Managers within the business as well as the office staff
  • Ensure ECITB recovery, employee training, and E-Learning are completed
  • Provide Admin support to Regional Management Team
  • Answer and direct incoming phone calls
  • Understand time writing, project buyer procedures, and roles to maintain the required standard
  • Develop and maintain a filing system
  • Liaise with Document Control
  • Organise and schedule appointments
  • Plan meetings and take detailed minutes
  • Assist in the preparation of regularly scheduled reports
  • Maintain office policies and procedures
  • Order office supplies
  • Maintain contact lists
  • Book travel and meetings arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants
  • Manage the site office facility

Desirable Criteria:

  • Proven experience as senior administrative assistant or office manager
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment
  • Proficiency in MS Office
  • Excellent time management skills and the ability to prioritise work
  • Strong attention to detail
  • Excellent written and verbal communication skills
  • Strong organisational skills with the ability to multi-task
