Job Summary

Bilfinger UK is a leading engineering and maintenance provider, supporting customers across various industries. We are seeking an experienced Office Administration Manager to join our team.

Key Responsibilities

  • Support the management team and office staff in their daily tasks and projects.
  • Provide administrative support to the Regional Management Team, including time writing, project buyer procedures, and roles.
  • Develop and maintain a filing system, ensuring all documents are up-to-date and easily accessible.
  • Liaise with Document Control to ensure compliance with company policies and procedures.
  • Organize and schedule appointments, plan meetings, and take detailed minutes.
  • Assist in the preparation of regularly scheduled reports and maintain office policies and procedures.
  • Order office supplies, maintain contact lists, and book travel/meeting arrangements.
  • Submit and reconcile expense reports, provide general support to visitors, and act as the point of contact for internal and external clients.
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
  • Manage the site office facility, liaise with BUK Facilities manager and suppliers/maintenance team.

Desirable Criteria

  • Proven experience as a senior administrative assistant or office manager.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment.
  • Proficiency in MS Office (MS Excel, Word, and MS PowerPoint).
  • Excellent time management skills and the ability to prioritize work.
  • Strong attention to detail.
  • Strong organizational skills with the ability to multi-task.
