Job Summary:

We are seeking a highly organized and detail-oriented Reception and Administrative Coordinator to join our team at FY Recruitment. As a key member of our support staff, you will be responsible for providing exceptional administrative support to our team, ensuring the smooth operation of our office environment, and providing a warm and welcoming experience for our clients and visitors.

Key Responsibilities:

  • Reception:
    • Manage the reception area, ensuring it is tidy and well-maintained at all times.
    • Handle incoming and outgoing mail, packages, and deliveries.
    • Coordinate meeting room bookings and arrangements.
    • Prepare and serve refreshments for clients and visitors.
  • Administrative:
    • Provide administrative support to our team, including data entry, filing, and document preparation.
    • Manage stationery and supplies, ensuring adequate stock levels and ordering as needed.
    • Coordinate travel arrangements, including flights, trains, and accommodations.
    • Process invoices and payments.
  • Office Services:
    • Ensure the smooth operation of our office environment, including lighting, heating, and air conditioning.
    • Liaise with contractors and vendors to ensure timely and efficient service delivery.
    • Monitor and review contracts to ensure good service and value for money.
    • Coordinate IT and telephone system maintenance and repairs.

Requirements:

  • Previous experience in a reception or administrative role.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • High level of organization and attention to detail.
  • Proficiency in Microsoft Office and other administrative software.
