In collaboration with a diverse team of professionals, you will deliver essential administrative assistance for the units, which includes maintaining service user records, coordinating the unit schedule, managing service user agendas, and documenting meetings.

As an Administrative Support Specialist, your duties will encompass organizing meetings and preparing all necessary documentation and correspondence.

Your responsibilities will include:

  • Assisting the administrative team with general clerical tasks and providing typing support.
  • Utilizing technology to create various documents and manage electronic information.
  • Organizing, maintaining, and updating relevant data using database systems, including electronic scheduling tools.
  • Overseeing and updating filing and record-keeping systems.
  • Refreshing information such as primary nurse lists and unit notices.
  • Handling and directing phone calls as necessary.
  • Supporting units as needed, including typing tasks, managing supplies, recording service user appointments, and ensuring the unit schedule is current.

To excel in this position, you should possess:

  • Proficiency in Microsoft Office applications.
  • Strong organizational and communication abilities.
  • Flexibility to adapt to service changes.
  • Excellent interpersonal skills.
  • Capability to prioritize and manage your workload within established guidelines while referring complex matters to the appropriate supervisor.
  • Effective communication with service users and staff, requiring sound judgment to gather information for accurate administrative records. The nature of this role may occasionally involve challenging situations.
