About the Role

We are seeking a highly skilled and experienced Fleet Administrator to join our team at Hays Specialist Recruitment Limited. As a key member of our operations team, you will be responsible for overseeing and managing the day-to-day operations of our company's fleet of vehicles.

Key Responsibilities
  • Schedule and Coordinate Vehicle Maintenance: Ensure that all vehicles are properly maintained and serviced to prevent breakdowns and minimize downtime.
  • Track and Manage Maintenance Costs: Monitor and analyze maintenance costs to identify areas for cost savings and implement strategies to reduce expenses.
  • Ensure Compliance with Vehicle Safety Regulations: Verify that all vehicles are in compliance with relevant safety regulations and standards.
  • Monitor Fuel Consumption and Costs: Track fuel consumption and costs to identify areas for improvement and implement strategies to reduce fuel expenses.
  • Implement Fuel-Saving Strategies: Develop and implement fuel-saving strategies to reduce fuel consumption and costs.
  • Manage Fuel Cards and Fuel Records: Oversee the management of fuel cards and fuel records to ensure accurate tracking and reporting of fuel expenses.
  • Coordinate Driver Training and Compliance: Coordinate driver training and compliance with driving regulations to ensure that all drivers are properly trained and certified.
  • Track Driver Performance and Conduct Performance Reviews: Monitor driver performance and conduct regular performance reviews to identify areas for improvement.
  • Manage Driver Records and Documentation: Oversee the management of driver records and documentation to ensure accurate and up-to-date information.
  • Analyze Fleet Usage Data: Analyze fleet usage data to identify areas for improvement and implement strategies to reduce costs and improve efficiency.
  • Implement Strategies to Reduce Fleet Costs and Improve Efficiency: Develop and implement strategies to reduce fleet costs and improve efficiency.
  • Manage Relationships with Vehicle Suppliers, Maintenance Providers, and Fuel Suppliers: Build and maintain relationships with vehicle suppliers, maintenance providers, and fuel suppliers to ensure timely and cost-effective delivery of services.
  • Prepare and Analyze Fleet Performance Reports: Prepare and analyze fleet performance reports to identify areas for improvement and track progress towards goals.
  • Track Key Metrics: Track key metrics such as fuel efficiency, maintenance costs, and vehicle utilization to ensure that the fleet is operating efficiently and effectively.
Requirements
  • Minimum of 3 Years of Experience: A minimum of 3 years of experience in fleet management or a similar role is required.
  • Strong Organizational and Time Management Skills: Strong organizational and time management skills are essential to ensure that all tasks are completed on time and to a high standard.
  • Proficiency in Microsoft Office Suite and Fleet Management Software: Proficiency in Microsoft Office Suite and fleet management software is required to ensure that all tasks are completed efficiently and effectively.
  • Excellent Communication and Interpersonal Skills: Excellent communication and interpersonal skills are essential to build and maintain relationships with drivers, maintenance staff, and other stakeholders.
  • Valid Driving License: A valid driving license is required to ensure that the fleet is operated safely and efficiently.
