Job Objective

The aim of this position is to deliver administrative assistance to the Links Centre team within the Offender Outcomes division.

Key Responsibilities

  • Perform administrative tasks, including the preparation of daily lists for the Links Centre, photocopying, filing, and taking minutes.
  • Manage internal and external phone communications, schedule Teams meetings, video court sessions, and agent video appointments, as well as handle various correspondence.
  • Provide temporary coverage for HDC Administration, ensuring proficiency in this role to effectively carry out responsibilities.
  • Offer relief support for Casework (ICM) & My Compass Assessment Administration, maintaining the necessary skills to execute these tasks competently.
  • Oversee the distribution and management of domestic supplies to the Links Centre and Regimes areas.
  • Adhere to the SPS wages policy for the weekly administration and allocation of work parties on PR2/SharePoint for prisoner wage payments.
  • Assist the Casework Manager and other team members with ad hoc tasks as required, in line with the role's level within the organization.
  • Collect, manage, and disseminate relevant records in compliance with SPS, Government, and Legislative Data Protection and records management standards.

Qualifications

  • A minimum of 2 National 5 or equivalent qualifications, including English and Mathematics, or relevant experience in a similar environment.

  • Proven experience in performing administrative duties, such as telephone management, filing, and data entry.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Ability to understand and adhere to policies and procedures.
