Office Administrative Assistant

Rapidly growing electrical contracting company based in Preston
**General overview of responsibilities**:
- Daily running of the office
- Support team members with any tasks including but not limited to booking appointments, es, etc.
- Support the MD with any specific tasks requested.
- Monitor all enquiries.
- Keep track of shared diary. The booking of small jobs with our engineers and scheduling appointments with clients.
- Use our job software system package which includes es, job sheets, invoicing and diary scheduler.
- HR duties including staff holiday, sickness, interviews, the recruitment of new staff, new starter packs and more.
- Prepare payroll information for bi-monthly payment runs and monthly supplier payments.
- Raising invoices, chasing payments and keeping our payment system up to date on a weekly basis.
- Keep in the loop with all contracts to ensure contract administrators are handling all issues.
- Ensure H&S accreditations and insurances are up to date at all times and distributed to clients when requested.
- Working with team members on building client relationships which will lead to repeat business.
- Be responsible for the company vehicle compliance Tax, MOT, Insurance and any other issues.
- Negotiating prices when sourcing materials or plant hire.
- Ability to build strong relationships with both clients and colleagues
- Manage and keep up to date all subcontractors insurances and policies.
- Manage contracts and coordinate subcontractors to ensure works are completed.
- Maintain business IT (such as Office 365, antivirus software), internet and communications systems and support the implementation of new software when or if needed.
- Answering all incoming calls to the office and meet & greet visitors.
- Ensure the VAT return is submitted and paid every 3 months with our accountant.
**THE Person**
- Previous office experience or experience in a similar role (not necessarily construction sector) is essential.
- Ability to work in a fast paced environment and exemplary prioritisation skills.
- It is crucial in this role that you possess excellent interpersonal skills.
- Strong IT skills and be familiar with working with databases.
- Good working knowledge of Excel
- A good re-call/memory of ongoing jobs
- Have an eye for detail and be able to multitask and prioritise tasks on your own accord.
- Ability to build strong relationships with both clients and colleagues

Pay: £21,839.00-£23,072.00 per year
