Administration & Communications Apprentice

Job Introduction
To provide effective delivery in all areas of office/administration support and customer service to the contract office.
Main Responsibilities
- Managing multiple priorities with set deadlines - in order to be successful in this role the post holder will need to demonstrate a high level of planning and organising capability using the resources available to them.
- Ensuring a high level of accuracy - in order to be successful in the role the post holder will need to demonstrate a high level of accuracy in all written communication using the resources available to them
- Promoting a professional image of Sodexo as the first point of contact - the post holder will need to be familiar with Sodexo image and reputation guidelines.
- Providing office admin support to include filing and record keeping, data entry, printing, photocopying and typing support for meeting minutes etc.
- Support with the production of all monthly reports, including training reports.
- Directing visitors to their destination and on-site escort
- Answering queries from visitors about Sodexo
- Ensuring that the phone always answered and that callers are correctly greeted, and calls transferred correctly
- Booking travel and accommodation for all employees who require it
- Scheduling meeting room bookings and appointments including ordering food and refreshments - including for venues external to Merville barracks.
- Provide a message service to all employees in the Sodexo office
- Receiving and sorting all mail (incoming and outgoing)
- Ensuring reception area always presents professional image
- Updating Outlook appointment calendars
- Scheduling conference calls and webinars
- Updating office building noticeboards
- Providing support for collation of PowerPoints for meetings
- Signing out keys to employees who require them
- Supporting with social media messaging and channels
- Admin support for HR processes including Star employee of the month and long service
- Provide absence cover to Helpdesk function
- Any reasonable request made by the contract administration and security manager
- All administrative tasks in order to ensure the efficient running of the office
- All visitors welcomed in a professional and efficient way to maintain Sodexo image and reputation
- Excellent written, communication and interpersonal skills
- Experienced in using social media channels including Facebook, Twitter
- High planning and organisational capability
- Previous admin or reception experience
