**Cleveland Local Medical Committee JOB DESCRIPTION Job Title**: CLMC Administration and Communication Assistant (reporting to the Business Manager) Grade: NHS Agenda for Change Band 3 Hours: Flexible 18.5 hours per week (minimum of 3 days per week to be covered in the flexible hours) Job purpose The post holder has primary responsibility for: Drafting and editing materials and communications. Maintaining effective and efficient communications to members and outside organisations. Assisting in maintaining web content and website maintenance, updating job advertising and guidance. Distribution of CLMC weekly bulletins, guidance and consultations to members and outside organisations.

Maintaining an effective database of general practitioners, practices and other key contacts. Supporting CLMC meetings, including scheduling arrangements, managing executive diaries and CLMC events. Collating responses from consultations. Providing administrative support to the CLMC team.

With the Business Manager, ensure information is as accessible as possible to all CLMC members through paper and electronic systems. Ensure compliance with Data Protection Act 1998, Caldicott recommendations and Freedom of Information Act. Ensure appropriate office insurances (e.g. Employers Liability and Professional Liability) are adequate, best value and in place.

Collating CLMC Executive responses, respond to requests for information as appropriate. Plan and organise CLMC Board meetings, sub-committee meetings, including inspection and selection of venues, catering arrangements and equipment and support Practice Manager Group meetings and other GP group meetings if requested. Produce notes from meetings in a timely manner and circulate to all attendees. With the Business Manager, maintain CLMC membership by: Organising 3 yearly CLMC elections for GP area representatives.

Advertise any vacancies. Report to CLMC Board following elections. Ensure Trust representation is maintained. Personal and professional responsibilities Undertake any other duties as required in order to fulfil the requirements of the post.

Ensure the CLMC Constitution is maintained and adhered to. Contribute and support the CLMC team to ensure the organisation has the capacity to: Think strategically and scan political and professional trends. Lead change through other people. Provide high quality services to general practice.

Communicate effectively with a wide range of people. Demonstrate conscientiousness, equity, fairness and representativeness when discharging all duties in accordance with CLMC policies. Operate consistently with all GPs and practices and with the wide range of other contacts. Ensure confidentiality is maintained.

Identify their own development opportunities at least annually and maintain own personal and professional development records. CLMC reserve the right to amend or add to the duties and responsibilities lists. As such, the post holder is required to be flexible in developing the role in accordance with changes in the NHS and the changing agenda, policies and priorities of CLMC.
