**Reports To**:Nurse Manager
The role of Business Support Assistant aids the Business Support Manager, and Nurse Managers.

- IT literate with excellent working knowledge of Word and Excel
**JOB PURPOSE**:As the Business Support Assistant, you are responsible for providing support to the Business Manager, Registered Nurses and Nurse Managers across both DaisyHill & LadyHill PNH.
**Duties and responsibilities** will include:
1. To receive all residents/visitors to the Home in a pleasant efficient manner and to answer the telephone promptly and deal with enquiries in a helpful, courteous, and welcoming manner, being aware of the need to always maintain confidentiality regarding staff and residents.
2. To perform secretarial/clerical duties as required by the Registered Nurse, Business Manager and Home Manager.
3. Provide a high level of support and administration using word and excel
4. To be involved in the recruitment of new staff members
5. Organize interviews/ recruitment for new staff.
6. Update the HR data base (training/absence).
7. To maintain and update staff recruitment files.
8. To process purchase orders for the homes (Christmas/ easter/ birthdays).
9. Manage log of petty cash and resident’s monies
10. Ensure that resident’s accounts are accurate and up to date
11. To provide support to the Registered Nurses and Nurse Manager as required
12. To ensure that the Home’s filing system is maintain accurately and promptly
13. To be involved in assisting with staff investigations and disciplinary’s
14. To be involved in minute taking at meetings
15. To update the Home’s policies and procedures when required
16. To schedule staff appraisals and supervisions
17. To co-ordinate staff training and update staff training databases
18. To provide support to the Registered Nurses in the event of an RQIA inspection
19. All other administrative duties as required by management
**Communication**:
1. Participating in Business, Staff and Resident meetings as required.
2. To liaise with members of the Management team and Home Manager regarding any issues that are identified
**Training & Development**:
3. Attending mandatory training days / courses, on or off site, as and when required.
4. Maintaining knowledge and competence.
**Health and Safety**:
5. Ensure adherence to the Home’s Disposal of Waste policy.
6. To ensure that chemicals / equipment are used correctly and safety procedures adhered to at all times.
- To ensure that paints and varnishes are used and stored only in accordance with manufacturers’ instructions.
- To ensure that Ensuring areas in which any painting / varnishing work is being done is well ventilated and safe for Clients, Visitors and Staff Members.
- Reporting immediately to the Director of Care, or Person in Charge, any illness of an infectious nature or accident incurred by a Client, colleague, self or another.
- Understanding and ensuring the implementation of the Home’s Health and Safety, Infection Control and hygiene policies, and Emergency and Fire procedures.
- Promoting safe working practice in the Home.
**General**:
12. Contributing to the safeguarding of adults by ensuring you are aware of your role in relation to the Home’s Safeguarding Adult’s Policy, taking steps to protects Residents from any form of abuse or neglect and use the appropriate reporting mechanisms to inform the Home’s Management of any concerns.
13. Promoting and ensuring the good reputation of the Home.
14. Ensuring that all information of confidential nature gained in the course of duty is not divulged to third parties.
15. Notifying the Business Support Manager, or Director of Care as soon as possible of your inability to report for duty, and also on your return to work from all periods of absence.
16. Ensuring the security of the Home is maintained at all times.
17. Adhering to all Company policies and procedures within the defined timescales.
18. Ensuring all equipment is clean and well maintained.
19. Carrying out any other tasks that may be reasonably assigned to you.
**REVIEW**
The post holder is expected to be flexible and be prepared to carry out any similar or related tasks that do not fall within the duties outlined. The job description is intended to be flexible.
