Administrative Assistant/receptionist

**Job Title: Agency Co-Ordinator**
**About this role**
Tasks to include but not limited to:
- Answering a high volume of telephone calls per day including transferring clients to relevant members of staff
- Being a main point of contact for clients ensuring a professional service and steam-lined transactions at all times
- Provide PA support to the Managing Director
- Managing diaries
- Organising and booking appointments, meetings and viewings
- Taking part in team meetings ensuring tasks are up to date and supporting the Commercial Valuers where needed
- Prepare Heads of Terms
- Prepare property particulars and uploading to our website and property portals
- Chase up outstanding information such as marketing fees, terms, EPC’s, ID and keys
- Carry out anti-money laundering risk assessments and checks on all sellers and buyers
- Order sale boards (liaising directly with the board company where required)
- Keeping all systems up to date and in order
- Audio typing
- Assist the Auction Team with answering calls when required
- Assist the Auction Team on auction days if and when required
- All other administrative tasks as and when required
We are looking for an enthusiastic, hardworking and confident person to join our busy team. The successful applicant must be able to work well as part of a team, be able to multitask and prioritise work whilst offering a friendly and professional service to our clients, as well as:
- Preferred experience within estate agency or lettings but not essential
- GCSE’s or equivalent in English and Maths
- Good knowledge of Microsoft packages, databases and phone systems
- Be able to communicate professionally in writing, by telephone and in person
- Organise your workload efficiently
- Work well under pressure
- Be able to work as part of a team as well as on your own
**Location & Commitments**
- Our office is located in Birmingham city centre
- You will be required to work Monday-Friday 9am-5pm (with 1 hour for lunch)
