**The post holder will**:

- Assist in the smooth running of the Children’s Out-patient Department across both sites, offering and negotiating the most suitable appointment date and time ensuring patients meet their 18 week pathways.
- Ensure patient confidentiality is maintained at all times in accordance with the data Protection Act and Trust policy.
- Undertake all reception duties as required
- To welcome patients and families to the department and provide helpful assistance and problem solving to any query.
- To keep patients informed of waiting times etc.
- Record all patients onto Patient Administration System (CERNER) ensuring data accuracy and highlighting any urgent referrals.
- Manage ‘worklists’ within e-Referral to ensure appropriate action is taken, including rebooking of patient appointments, accepting, redirecting and rejecting GP referrals.
- To deal with all telephone queries regarding paediatric appointments, ensuring patient confidentiality is maintained at all times.
- To arrange new appointments for patients and send appointment letters and any relevant patient information leaflets i.e. allergy forms.
- To participate in the reception rota covering the reception desk. This includes booking patients in and out using the Clinic Management system on CERNER ensuring that the patient’s outcome is recorded on the computer system.
- Cancellation and rebooking of appointments as instructed by the Paediatric Appointments Supervisor.
- To hand over written prescriptions at the consultant’s request to parents/carers ensuring that the appropriate steps have been taken.
- To work across both sites providing clerical cover for Paediatric Out-patient Department.

- Use judgement and decision making skills to offer and negotiate the most suitable appointment date and time for patients, ensuring all paediatric appointment slots are fully utilised to maximise departmental capacity.
- To deal with all telephone queries regarding paediatric appointments, ensuring patient confidentiality is maintained at all times.
- To arrange new appointments for patients and send appointment letters and any relevant patient information leaflets i.e. allergy forms.
- To support in dealing with patient queries and anxieties in a sensitive and caring manner whilst being understanding, helpful and attentive.
- To participate in the reception rota covering the reception desk. This includes booking patients in and out using the Clinic Management system on CERNER ensuring that the patient’s outcome is recorded on the computer system.
- Cancellation and rebooking of appointments as instructed by the Paediatric Appointments Supervisor.
- Opening of post and taking appropriate action.
- To inform the Paediatric Appointment Supervisor of any possible breaches which could potentially occur.
- To hand over written prescriptions at the consultant’s request to parents/carers ensuring that the appropriate steps have been taken.
- To respect the confidentiality of patients at all times.
- To work closely with the doctors, nurses and Clinical Offices within the Out-patient Department as part of a team
