We have a superb opportunity for a office administration to support the various commercial departments at our EMEA operations based at Carter Court in Quedgeley, this could include Purchase Order requests, travel bookings and other ad hoc tasks.
You will also operate as “front of house” meeting and greeting colleagues and visitors, dealing with deliveries, and ensuring a welcoming feel for the building. As required, you may support facilities queries and requests at Carter Court.
**SPECIFIC RESPONSIBILITIES***
- Travel arrangements for visitors to site - including taxis, car bookings and local hotels. Maintains contact with local hotels to ensure value for money and service and Kohler booking rates. Provides advice and guidance to US Admin on appropriate bookings for visitors.
- Meetings and event coordination for Enterprise Functions teams and other businesses that utilise the facility - including close contact with Kohler Mira business admin team for coordination of meetings. For large meetings, this will include room set up and clear down.
- Organizing catering requirements for meetings and events - including set up and clear down.
- Supporting onboarding of new associates - supporting managers with new starter set up and IT coordination and first day building tours (ensuring laptops and periphery are available for first day, shipping of remote equipment, stationery and guide on local SharePoint sites etc)
- Tracking equipment for the building including new starters, leavers and home workers
- Maintaining SharePoint and team sites
- Providing administrative support including Purchase Order (PO) management through company systems in line with process. Vendor creation & Purchase Orders - creation and approval via OCR/Goods receipt
- Regular checks on meeting room, collaboration facilities, and kitchen areas to ensure fit for use
- Coordination of deliveries and collections where required - Mail sorting, Franking, Royal Mail, DHL, DPD, FedEx
- Visitor/guest procedures - sign in, access, Wi-Fi Passcodes
- Catering ordering for in house meetings and events including last minute lunch changes or orders
- Order DHL boxes and sleeves and send HR parcels
- Office Supplies procurement - including regular Asda orders (Milk, refreshments etc) restocking of tea points, printing, post & stationary
- Order merchandise for different teams / Merchandise orders for all events
- Provide on-site support and respond to ad-hoc queries regarding technology not working i.e. screens not connecting or keyboards in collaboration with IT.
**Skills/Requirements**
- Proven experience of an office administrator or relevant role
- Outstanding communication and interpersonal skills
- Excellent organisational skills
- Excellent knowledge of MS Office and office management software
- Confidence with new systems and following corporate processes to ensure appropriate action is taken
- Proactive, problem-solving approach - looking for opportunity to improve experiences and processes for benefit of wider building
