**We are currently recruiting for a Help Desk Coordinator & Contract Support to ensure that tasks are logged in a timely and accurate manner, and that PPM’s and reactive tasks are completed within the contract required time frames.**

**As the Help Desk Coordinator & Contract Support you will also be responsible for ensuring that all Purchase Orders are raised correctly for all workstream reports, with good and services receipted correctly. The role will include assisting with the timely completion of management reporting, and the storing and filing of all documentation in accordance with company procedures for audit purposes.**

**Key Responsibilities**

***
- **Operating on the Client CAFM system to ensure PPM’s and reactive jobs are logged and managed with hard and soft services teams**:

- **Deploy the necessary on site support (Hard & Soft Operators) to deal with reactive jobs within SLA time frames.**:

- **Ensure Daily, Weekly, Monthly and Annual reports are run in a timely manner.**:

- **Ensure the creation of PPM tasks and correct allocation of these to relevant Technician or Subcontractor**:

- **Ensure quotations from Supplier and Subcontractors are received and acted on correctly**:

- **Ensure creation of Purchase Orders on COUPA System are carried out correctly, have them approved and sent to suppliers**:

- **Ensure the progress of goods and services with Suppliers and Subcontractors is carried out correctly**:

- **Ensure Purchase Invoices are approved and matched correctly on COUPA system**:

- **Assist the Help Desk Manager with monthly reports and key data**:

- **Ensure compilation of invoices for Fixed contract, Life Cycle, Service Variation and Additional Works is carried out correctly and on time**:

- **Ensure compiling of Timesheets summaries and update overtime to HQ Payroll is carried out correctly**:

- **Ensure all operatives and suppliers have the relevant enhanced DBS accreditation**

**Professional and personal competencies/qualifications**

***
- **Previous experience in a helpdesk / administrative setting**:

- **Experience in a CMMS (Computer Maintenance Management System)**:

- **Experience in scheduling of operatives and deploy technicians**:

- **Experience or proven ability in working with own initiative**:

- **Ability to communicate both written and verbal to senior management level.**:

- **Ability to solve problems in an effective manner.**:

- **Excellent skills in Microsoft Office (Word and Excel)**:

- **Excellent organisational skills**:

- **Ability to handle large amounts of data accurately and in a timely manner**
