We are recruiting on behalf of our client for a Facilities Help Desk Coordinator to work within their team of 2.

You will be responsible for operating the help desk inquiries from PPM to issuing work permits. You will also liaise and provide support contractors and the Facilities team to ensure tickets get actioned. Shift Monday - Friday 8 am -5 pm or 9 am-6 pm

Main Responsibilities:

To ensure that all calls are answered promptly and efficiently and processed in accordance with agreed procedures.
To respond to all tenant-related issues as part of the Customer Satisfaction Service procedure
To operate, on a day-to-day basis, the planned maintenance system and to issue task sheets to the facilities team
Maintain the facilities database, enter and update new base data as required. Liaising with team members to update job tickets and close jobs down.
Contacting residents, other team members/departments, to check status of job tasks as and when follow ups are required.
Contacting residents and other departments to obtain access to apartments, for jobs to be completed.
Raising service requests on the facilities database and scheduling these to the relevant engineer.
Answering maintenance related queries raised by residents and staff or directing them to the appropriate team member.
Monitoring and investigating outstanding jobs to ensure that jobs are completed in accordance with KPIs.
Raising purchase orders for equipment and services.
Previous experience of operating in a helpdesk / Coordinator role in an operational environment is preferable.
I.T. literacy is essential including a good working knowledge of Microsoft Office (Excel, Word, Outlook).
Knowledge of the Concept system and E-Permits would be an advantage, although training will be provided.
Excellent telephone manner and be able to communicate clearly with stakeholders at all levels.
Excellent written communication is also essential.
Previous experience in the BTR industry and/or a significant understanding of the industry.
Experience using Real Page and Qube Systems.
