Job description
We are seeking to appoint a Helpdesk Operative on a permanent basis to deliver a first-class service to the colleges within the group.
**Key Purpose**:
As a Helpdesk Operative, you play a vital role in ensuring the smooth operation of our facilities and estates management. We are seeking an individual who is dedicated, customer-focused, and proactive to join our team. Your primary responsibility will be to provide first-line helpdesk support and administration, ensuring that all queries are efficiently handled and resolved to maintain a seamless experience for our students and staff.
**Responsibilities**:
- Process reactive and planned work orders, assigning them to relevant teams and contractors through effective triage processes.
- Liaise with contractors and internal teams to ensure timely completion of work orders, requesting quotes and advice where necessary.
- Take ownership of work orders from issuance to completion, keeping clients informed of progress.
- Organize and implement pre-planned maintenance schedules, monitoring and tracking invoices and purchase orders.
- Maintain relationships with site-based teams and contractors, ensuring effective communication and collaboration.
- Assist with managing on-site stock levels and investigating missed deadlines, escalating issues as needed.
- Communicate with end-users regarding scheduled work orders and ensure effective information dissemination.
- Provide data and feedback to support performance management and produce reports for management as required.
- Conduct trend analysis and attend contractor reviews to drive continuous improvement.
**Requirements**:
- Strong administrative skills with attention to detail.
- Excellent customer service and communication skills.
- Ability to prioritize tasks and work efficiently under pressure.
- Proficiency in Computer Aided Facilities Management (CAFM) systems.
- Experience in facilities management or a related field is advantageous.
