**PA TO CHIEF EXECUTIVE /OFFICE ADMINISTRATOR**

**BACKGROUND**

Centred(Scotland) is a progressive charitable Company based in the Highlands that supports people through mental ill health towards mental well-being.

**LOCATION**:Head Office, 59 Tomnahurich Street, Inverness, IV3 5DT

**REPORTS TO**: Chief Executive

**REMIT**:

- Personal Assistant to Chief Executive.
- Ensuring the effective administration of Head Office
- Working closely with all other administrative staff at Head Office and services within Centred(Scotland).

**SALARY**:£22,204 - £23,150 (pro rata)

**HOURS**: 25 per week. Normal office hours: 9.00am - 2.00pm, Monday to Friday

**KEY TASKS**
- Provide administrative support to the Chief Executive including but not exclusively:

- acting as a first point of contact: dealing with correspondence and phone calls and managing CEO diary.
- managing diaries and organising meetings and appointments.
- booking and arranging travel, transport and accommodation.
- organising events and conference
- word processing, compiling and preparing reports, presentations and correspondence.
- Provide minute taking at Management Team, Board and Committee meetings.
- Supporting other head office departments including fundraising and communications as necessary
- Organise the office layout and maintain supplies of stationary and equipment.
- Maintain condition of office and organise any repairs.

**PERSON SPECIFICATION**

**Critical Competencies**
- Excellent interpersonal and communication skills.
- Ability to work with Microsoft Office Suite to advanced level.
- Ability to work with people at all levels.

**Experience & Qualifications**
- Excellent organisational and time-management skills
- knowledge of Microsoft Office Suite (Word, PowerPoint, Excel) and other commonly-used office packages
- strong IT and typing skills
- the ability to prioritise tasks and work under pressure
- good teamworking skills and the confidence to lead and motivate a team
- the ability to manage your workload and supervise others concurrently
- excellent interpersonal, oral and written communication skills
- attention to detail
- flexibility and adaptability to changing workloads

**SUMMARY OF TERMS & CONDITIONS**

The post holder will hold a current PVG scheme membership/police check or will secure this prior to commencement in post as directed.

The post holder will participate in monthly supervision sessions and will have an annual appraisal.
