To support the medical secretaries in providing an efficient and timely secretarial and administrative service.

Provide secretarial and clerical support to the consultant and medical staff as required.

Take appropriate action with regards to telephone calls from patients, GP’s and other agencies

To trace notes to the patient’s next appointment (within the Trust and outside Trusts)

Request notes from Departments for upcoming appointments and inpatient stay.

Open post and deal with appropriately.

Register patients and make up hospital notes.

Typing up of clinics, using Big Hand.

Maintain an efficient filing system for easy retrieval of documents.

Required to cover the medical secretaries during annual leave/sickness and adapt to their work place and individual differential layouts.

To maintain confidentiality at all times and adhere to other Trust policies and procedures and implement any changes to the daily routine.

Prioritise own workload meeting requirements of medical secretaries including typing clinics.

Liaise; report, document and present data collected using appropriate computer software to achieve effective results.

To provide support in respect of the medical secretaries.

Regular exposure to distressing/emotional circumstances i.e. typing letter of distressing nature, dealing with distressed patients over the telephone.

To maintain on orderly office, which can readily be taken over by colleagues/locum where necessary

Adhere to Trust policies and procedures, e.g. Health and Safety at Work, Equal Opportunities etc.

Maintain personal and professional development to meet the changing demands of the job, participate in appropriate training activities and encourage and support staff development and training.

Attend statutory, essential and mandatory training.

Respect the confidentiality of all matters relating to their employment and other members of staff. All members of staff are required to comply with the requirements of the Data Protection Act 1998.

Preference will be given to internal Trust staff, as well as ‘Priority’ and 'At Risk' status including NHS at Risk staff throughout Devon who is able to display recent relevant experience as dictated by the Person Specification.
