**Function Coordinator Responsibilities**
- Understand the client’s requirements and objectives for each event or function.
- Plan and organise all logístical details of events/functions within given budgets and timelines.
- Research, select and book appropriate venues that meet the client's needs and event specifications.
- Coordinate with venues on room layouts, equipment needs, catering, decor, and other event requirements.
- Liaise with clients regularly to discuss event details, provide updates and ensure their vision is executed.
- Source, negotiate and manage contracts with vendors such as caterers, entertainers, florists, audio/visual technicians, etc.
- Hire, train and oversee event staff, including servers, bartenders, hosts/hostesses, etc.
- Manage all on-site operations during events, ensuring smooth execution and resolving any issues promptly.
- Conduct final checks of venues and setups prior to events to ensure standards are met.
- Track and maintain budget, processing invoices and payments to vendors.
- Analyse and evaluate event success through feedback and metrics and prepare post-event reports.
**Function Coordinator Requirements**
- Proven experience as an event/function coordinator, preferably in the events/hospitality industry.
- Strong organisational, multitasking and time management abilities.
- Excellent communication, negotiation and interpersonal skills.
- Solid understanding of event planning, logistics and vendor management.
- Ability to remain calm under pressure and solve problems effectively.
- Proficiency with MS Office suite and event management software.
- Bachelor's degree in Event Management, Hospitality or a related field is preferred.
- Flexibility to work evenings, weekends and extended hours as per event schedules.
The Function Coordinator is crucial in planning, executing and managing all aspects of successful events for clients while ensuring adherence to budgets, timelines and the client's vision.
Full time position
Pay: £30,000.00 per year
