Operations Administration Assistant

Job Summary
The Operations Administration Assistant will perform tasks for the Office Manager and will be responsible for the administration of our ever growing client portfolio. This will consist of general clerical, administrative duties and a variety of tasks leading up to and including the operations of the our client base events list. The Operations Administration Assistant will be expected to learn a thorough knowledge of the events industry specifically the plans, processes, policies of the individual clients needs.
Tasks and Responsibilities
- Assist with all Operations internal and external correspondence.
- Attend internal and external meeting arrangements and schedules.
- Record and organise meeting information and accountabilities.
- Assist with the procurement and contract development and administration.
- Update Operations files.
- Maintain information materials and presentations.
- Assist with set-up of and orientation of new Operations staff.
- Assist in human resources, staffing and volunteer administrative coordination.
- Assist with document editing and preparation.
- Assist with special projects as assigned.
- Support administrative and projects needs of on site Operations team as assigned.
- Review and verify periodic budget/expense reports.
- Handle other administrative duties as assigned.
- Administer time and attendance systems in line with individual client requirements.
- Assist with staff file updates.
- Other duties as assigned.
Job Qualifications
- Demonstrated excellent organizational, coordinating and personal interface skills.
- Demonstrated excellent written and verbal communication skills.
- Familiarity and comfort with customary office machines (i.e. fax, copier, printers, etc.)
- Minimum 2-3 years clerical/administrative assistant experience
- Proven job diligence and dedication and attention to detail.
- Ability and willingness to work overtime, weekends and evenings as required.
- Comfort and experience interfacing with various organizational levels of staff and management.
- Experience working in multicultural settings plus have the ability to work in high stress situations in a constantly changing environment.
- Qualifications in Business Management and Administration Desired
- Previous experience in a similar role/ industry Desired

**Salary**: £24,000.00-£26,000.00 per year
