An exciting opportunity has arisen for a Band 2 Administration Assistant to work in the Occupational Health Department at East Suffolk and North Essex NHS Foundation Trust.
- Excellent written, verbal and interpersonal skills
- Good IT and keyboard skills
- A good working knowledge of all Microsoft programmes
- The ability to work under their own initiative
- A willingness to learn and develop

The Administration Assistant will provide support to the Occupational Health clinical team by carrying out assigned clinical tasks and associated administrative duties. The intention is that whilst the Administration Assistant may concentrate on certain duties they will be sufficiently proficient in all areas to provide flexibility dependent upon service priorities.

**The aim is to**:

- Provide an efficient high quality and client centred orientated service to the Trust and external clients.
- Work collaboratively with others in the department to ensure that client needs are met.
- Work under supervision of colleagues
- Ensure confidentiality is maintained.

To provide an efficient service to both internal and external clients by:

- Providing reception services including receiving clients, and record maintenance.
- Assessing internal and external client’s requirements and arranging appointments and urgent consultations as appropriate being commercially aware.
- To provide administrative support to the Occupational Health team to include knowledge, experience and expertise in a full range of administrative procedures including software functions.
- Assisting in maintaining computerised medical records including:

- Maintenance and updating of computerised records.
- Creation of new records.
- Archiving of inactive records.
- Scanning of letters, tests into client file etc.
- Send text reminders to clients for clinic appointments.

To assist in the smooth running of the department by
- To ensure all visitors and colleagues receive a courteous, efficient and welcoming services.
- Assessing internal and external client’s requirements and arranging appointments as appropriate.
- Maintaining appropriate and accurate record keeping in line with and department policies.
- To assist the clinical staff at all times to ensure the smooth and uninterrupted delivery of healthcare
- Provide secretarial and administrative support as requested to the Occupational Health team.
- Ensure records are retained in accordance with legislation and Trust policy.
- Ensure that incoming and outgoing mail is dealt with in a timely manner
- Ability to recognise own limitations and be able to recognise the need for support.

Communication
- Maintain good working relationships with all clients.
- To work alongside other professionals and administrative staff to provided a smooth and effective running of the Occupation Health service
