**Job Title**:Administration and Bookings Assistant

**Location**: Titchfield Community Centre, Mill Street, Titchfield, Fareham PO14 4AB

**Hours**: 16-24 per week (daytime shifts up until 6pm, Tuesday -Friday plus ad-hoc cover)

**Salary**: £12.92 per hour

**Role Overview**: We are looking for someone to work as part of the office team to handle various aspects of the centre administration and event bookings. The role is an incredibly varied customer facing role, with no two days being the same. The tasks below are the shared responsibility of the office team.

**Key Tasks**:

- **Taking and Managing Room Bookings**: Efficiently handle room bookings, ensuring accuracy and timeliness.
- **Liaising**: Collaborate with Trustees, Customers, Local Authorities, Suppliers, and other stakeholders as necessary.
- **Bookings Diary**: Maintain the diary to ensure smooth bookings and scheduling.
- **Coordinating Documentation**: Assist in preparing and documents for Committee meetings.
- **Recording Minutes**: Accurately record minutes during meetings.
- **Maintaining Receipts Ledger**: Keep detailed records of financial transactions and ensure accountability.
- **Filing and Archive Systems**: Maintaining the filing and archive systems for easy retrieval of information.
- **Stock Maintenance**: Manage stocks of stationery and other supplies, ensuring availability and replenishment as needed.
- **Ordering and Receiving**: Place orders for stationery and supplies, ensuring value for money and timely receipt.
- **Correspondence Preparation**: Assist in preparing and distributing correspondence and other documents.
- **Key-holder Responsibilities**: Act as a key-holder for call-out purposes, ensuring security protocols are followed.
- **First Aid Representation**: Serve as a First Aid Representative, providing necessary assistance as required. Training provided.
- **Other Tasks**: Undertake any additional tasks assigned by the Centre Manager in line with the role's responsibilities.

**Skills and Experience**:

- **Excellent Customer Service**: Ability to provide outstanding customer service, resolving issues effectively.
- **IT Skills**: Proficiency in Microsoft Word, Excel, and Outlook, with the ability to adapt to new software.
- **English language skills**: Proficiency of the English language, encompassing both verbal and written communication abilities.
- **Social Media**: Familiarity with social media platforms for communication and promotion.
- **Minute Taking**: Experience in minute-taking during meetings would be advantageous.

**Job Types**: Part-time, Permanent

Pay: £12.92 per hour

Expected hours: 16 - 24 per week
