**Job Title: Scanning Administrator**

**Location: Brighton Office**

**Hours: Monday to Friday 9:00 - 5:00 with 1 hr lunch break (35hrs)**

**Report to: Chief Business Development Officer**

**Holiday Allocation: 25 day per annum**

**Contract: 1 Year - Fixed term contract**

**Summary of Job**:
We are looking for a motivated person who can work quickly whilst maintaining attention to detail. You will be responsible for processing property and accounting information. Accuracy is vital as the information will contribute to the client’s record.
High level of literacy essential, experience of a similar role desirable but not necessary as training will be provided.

**Main Tasks & Responsibilities**:

- Establish and maintain a document management database through scanning and photocopying - including: o scanning single or double sided, naming and saving to the appropriate digital file as directed. o clearly marking the paper files o storing in bankers’ boxes with clear references on the outside o preparing for removal to external facility
- Take responsibility for the document control of information from a variety of sources.
- Establish a user-friendly and versatile cataloguing system that can be extended to include other information as and when required.
- Support the individual departments with document management, approval, and version control processes.
- Comply with the company’s quality and security procedures.
- Observe the company health and safety procedures.
- Carry out general administrative and other duties.

**Person Specification**:

- Proficiency in MS Word and Excel
- Experience of maintaining a document management database or similar
- Able to multi-task
- Organise and accurate with attention to detail.
- Effective communicator, confident and articulate
- Must be able to work autonomously as well as alongside the senior management team to establish focus
