About the Role
We are seeking a skilled and organized Ward Administrator to join our team at Brighton & Hove Clinic. As a key member of the multidisciplinary team, you will provide administrative support to the wards, ensuring the smooth operation of our services.
Key Responsibilities
- Provide day-to-day administrative support to the wards, including updating service user information, managing the ward diary, and updating service user timetables.
- Arrange meetings and type up all correspondence and documentation.
- Manage the ward phones, answering calls and managing enquiries efficiently and effectively.
- Update admissions to Carenotes, electronic patient records system, on the day of admission.
- Prepare new patient folders, ensuring all relevant documentation is included.
- Perform general administration duties, such as photocopying, filing, archiving, and scanning.
- Support the ward team on a weekly basis, working collaboratively to maintain a tidy ward office and ensure the smooth running of the service.
- Participate in the implementation of the new Quinyx rostering system and manage existing Temployer.
- Liaise with line management and senior staff to ensure staffing and skill mix requirements are met.
- Monitor future rotas and plan ahead to reduce vacant shifts.
- Act as the initial point of contact for internal and external queries related to rota and associated issues.
- Work closely with the Training Administrator to ensure all staff have completed mandatory training.
- Ensure documentation, administrative systems, and processes are accurate and up-to-date.
Requirements
- Knowledge of Microsoft Office programmes.
- Excellent organizational and communication skills.
- Ability to respond to changes in service and adapt to new situations.
- Excellent interpersonal skills.
- Organize and prioritize own work within established procedures.
About the Team
You will be working at Brighton & Hove Clinic, providing a CAMHS Tier 4 service for young people aged 12-18 years with a prime diagnosis of eating disorders. Our team combines NICE guidelines recommended therapies to create bespoke programmes that provide person-centred care to support each person's physical, medical, and mental health needs.
