The main duties of the job are to provide comprehensive secretarial and administrative support to clinical staff using a range of secretarial procedures in accordance with the processes. To contribute to the effective delivery of patient care, through knowledge of consultant practice and hospital systems. It can be a very busy and demanding area to work but is rewarding in the difference it makes to patients.

As the Pathway Administrator/Outpatient Booker you will be responsible for the management of outpatient and inpatient bookings, waiting lists, you will deal with general admin duties of the office. You will need to have excellent communications skills and be able to work in a calm, logical and methodical way. You must be able to multi-task whilst dealing with frequent interruptions, whilst always maintaining patient confidentiality. You must be confident, diplomatic and able to work in a busy environment with a pleasant and caring disposition. You will be required to have a good level of education and have some experience and knowledge of the NHS.

Working within a dedicated specialty to facilitate the smooth running of the patient journey by ensuring co-ordinated and streamlined administrative processes revolve around the patient and their individual needs.

To contribute to the effective delivery of patient care, through knowledge of consultant practice and hospital systems.

To maintain an effective administration service across the entire service, provide cross-cover for other admin team members as required.

To provide comprehensive secretarial and administrative support to clinical staff using a range of secretarial procedures in accordance with the processes.

To provide secretarial and administrative support to consultants and other medical staff using a range of secretarial procedures and to provide cover for colleagues as necessary.

To contribute to the provision of a quality outpatient appointment service and the effective delivery of patient care.

Ensure all outpatient clinics are fully utilised and cancelled slots filled effectively. Monitor and action f/up waiting lists with appropriate escalation where necessary.

Ensuring patients are booked according to clinical urgency and RTT chronology.

Adaptability to provide cover for other members of staff as directed by either the Team Co-ordinator or Clinical Admin Lead.

To maintain good communication channel and excellent customer service to patients, clinicians, GP surgeries and colleagues within your team and in other departments.

Data quality check the outcomes of clinic annotations altering PAS to reflect the relevant clinical notes.

Maintain stationery stock and order as necessary through UNIT4

Monitor follow-up appointments as required in line with Trust Access Policy.

Ensure patient notes are maintained in accordance with the Trust’s Case Note Management Policy and all correspondence, reports and results are filed correctly and in a timely manner.

Keeping up to date with patient filing/scanning/post.

Supporting the clerical officer, apprenticeships, or new members of staff, providing guidance and training as required.
