**Job Overview**:
Our three pillars of safety, reliability and efficiency are at the heart of what we do in Navigator. With these in mind, the Office Co-ordinator will play a key role in making the London office a great place to work for all colleagues and ensure a welcome reception for all visitors.

Comprehensive coordination will ensure the facility runs effectively whilst enhancing the employee experience, and ensuring the service received by callers or visitors to the office reflects the Company’s excellent reputation.

The Office Coordinator reports to the Head of HR.

**Core responsibilities**:

- Contribute to a great employee experience, tasks include:

- Welcoming and friendly with staff, considerate of employee experience.
- Office procedure and H&S induction for new staff, reminding colleagues of expectations.
- Arrange perks, breakfasts, lunches, treats, presents and cards as appropriate.
- Ensure office cleanliness is maintained between cleaning contractor visits.
- Arrange maintenance, repair or replacement of office hardware and furniture as appropriate.
- Order kitchen, stationery and office supplies.
- Manage incoming and outgoing post.
- Internal communications to share important news and updates relating to office environment.
- Represent London office in the Office H&S Working Group, alongside representatives from other Navigator offices; and assist with implementation of measures from H&S audits.
- Drive eco-friendly practices to help Navigator on our sustainability journey.
- Key member of the Social Committee, assisting with planning events and charitable initiatives.
- Providing occasional support to the Executive team with Board meeting bookings, travel support and diary management.

Ensure a great visitor/caller experience, tasks include:

- Visitor health and safety induction.
- Management of the reception area and meeting rooms.
- Book visitors with building security, issuing visitor passes and maintaining register.
- Greeting visitors and providing refreshments.
- Answer, screen and direct incoming calls and passing on messages appropriately.

Liaise with suppliers to ensure quality and effectiveness of services, tasks include:

- Represent the Company to building management and share important updates.
- Travel booking platform monitoring of approvals in line with policy, go-to colleague for provider and colleagues to resolve queries.
- Monitor performance of service providers such as cleaning, maintenance, coffee machine, water taps, fisk tank maintenance and office plants.
- Research and recommend perks to share with colleagues.

**Additional responsibilities**:

- Co-ordinate with colleagues in similar roles in our offices in Gdynia, Copenhagen and Manila to learn and share expertise with a view to consistency of experience and continuous improvement.
- There is opportunity to shape this role and develop it further.

**Requirements**:

- Minimum of 2 years’ experience in a similar role.
- Well organised and proactive, identifying improvements and presenting solutions.
- Engaging communication skills.
- Efficient user of Microsoft packages and willingness to learn.
- Able to multi-task and prioritise effectively.
