**Job description**

We are looking for a Workforce Planning Officer to join our Service Management Office (SMO) team. This is a fixed term maternity cover appointment for 12 months or earlier (depending on when the postholder returns).

As part of SMO, you’ll join a small and dynamic team providing a range of central business and operational support services for Group Infrastructure & Operations (GIO), responsible for a range of IT services within Defra. SMO drive efficiency and effectiveness across GIO by providing a range of support services, standardising practices and promoting process expertise. SMO manage people, departmental performance and management information which is underpinned by a secretariat function to formally document governance meetings and provide support to the wider GIO function. As Workforce Planning Officer, you will deliver varied workforce admin tasks to ensure GIO has the right capacity to deliver its priorities. You will play a key role in managing data for effective decision making and there will be plenty of scope to drive improvements and shape the role, too.

**Person specification**

**Responsibilities**
- Maintaining accurate workforce data, distribution lists and organisational structure charts, ensuring they’re d up to date and to a high standard. You will collect and maintain workforce data including updating staff names, roles, locations, grades, contract types etc.
- Communicate proactively with our managers and Leadership team. You will monitor shared mailboxes and reply to workforce related queries, attend stakeholder calls and draft written comms updates.
- Attend stakeholder meetings where required, capturing minutes and updating action logs.
- Submit resourcing and recruitment forms for the approval process as part of our resource management service.
- Oversee the process for contractor timesheet approvals and IR35 compliance, ensuring timesheets are processed timely and accurately, and that IR35 assessments are conducted and stored.
- Champion talent schemes (apprenticeships, fast streamer, internships etc.) ensuring managers have the information they need for diverse recruitment and inducting their new starters.
- Champion our SharePoint Hub (GIO Connect) and opportunities for smarter ways of working that GIO Connect provides (training provided).
- Work with the wider SMO team to ensure our work instructions, guidance documents and Frequently Asked Questions (FAQs) are kept updated and accurate.
- Play an active role in the SMO team by attending team meetings and contributing to wider team initiatives as desirable.

**Skills and Experience**
- Proficient in using Microsoft Office (especially Excel) or equivalent tools.
- Highly organised with strong attention to detail.
- Good time management skills.
- Experience providing administrative support in a business environment.
- Experience collecting and managing data and information from different sources and in different formats.
- Experience of record management on systems such as SharePoint (or equivalent online systems).
- Demonstrable relationship building skills with strong written and verbal communications skills.

**Job Type**: Fixed term contract
Contract length: 12 months

**Salary**: £25,915.00-£30,402.00 per year
