Office Administrator - Logistics

**The Role**:
**The logistics office administrator** is responsible for supporting the logistics team with administration duties relating to the delivery and collection of hire and sale orders, along with supporting our internal and external drivers with administration and communication, whilst ensuring they meet the required standards.

**Key Responsibilities**:
**Operational Duties**

- Producing the relevant delivery/collections paperwork for the drivers and yard teams, and inputting of the delivery and collection confirmations into the system
- Booking external hauliers, raise internal requisitions, purchase orders, goods receipting orders and send paperwork to external suppliers and internal departments as required
- Feedback the quality of the completed paperwork from drivers to the logistics supervisor
- Create invoices to customers for delivery and collections charges applicable, Liaise with the sales team where deliveries or collections are unable to be allocated to drivers on requested date, and where we are able to bring forward deliveries and collections
- Ensure miscellaneous transport requests are logged on the depot schedule for routing and tracking, including IT requests, Safety ad hoc requests and Fabrication delivery and collections
- Liaise with customers to book drivers into sites and confirm lifting capabilities where required
- Maintain the average awaiting collection days to the agreed SLA or below
- Utilizing the daily courier service where necessary
- Follow up all courier deliveries to ensure they have been completed within the requested date and time Health and Safety, And complete tasks in accordance with the depot risk assessments, notify the Team Leader of any potential noncompliance
- Report accidents and near misses using the correct methods
- Ensure the correct PPE is used in the depot at all times
- Maintain excellent levels of housekeeping in the office, ensure areas are free from waste and trip hazards
- Supporting the Logistics supervisor and Fleet Manager to ensure drivers and vehicles operate within the standards set out in FORS with administration Quality
- Ensure works are carried out in accordance with processes
- Contribute to continuous improvement by providing suggestions and feedback to Team Leaders and Management CF820-51 Version 1 Page 2 of 3
- Work to agreed timescales updating the Team Leader on progress
- Maintain good communication with Team Leaders and Management at all times Key Measures & Targets:

- Average await collect days
- Quantity of equipment awaiting collection
- External haulage cost recovery
- Overdue on hire and off hire confirmations - Outstanding purchase orders
- Accuracy of computer inputting Key Relationships:

Essential - Previous experience working in an office-based administration role
- Ability to plan and schedule work efficiently.
- Computer literate with good knowledge and understanding of excel, word and outlook - Polite, calm and professional manner with excellent customer service skills
- Ability to listen and learn Desirable
- Product knowledge of specialist hire equipment, Fabrications materials and structures
