What you'll be doing
Corpay^ is currently looking to hire an Office Administrator within the UK Office Management division. This position falls under our Corpay^ line of business based in Swindon, UK.
This is a full-time role based in the office.
As an Office Administrator will be responsible for assisting with required business administration and office duties. You will be the first point of contact for visitor’s onsite, managing postal delivery and collections along with supporting the Office Manager with the day to day running of the office.
Key Responsibilities- Manage all visitor’s arriving onsite.- Assist the business support function with administrative tasks where required.- Manage incoming and outgoing post daily as well as any ad hoc deliveries and collections.- Maintain the iPads around the building ensuring they are operational.- Maintain office supplies ensuring sufficient levels of stationary, supplies and products. Including fresh milk.- Maintain stock for vending machines, filling daily and visiting the wholesalers to ensure supplies are available. Ensure stock rotation and stock control.- Manage the booking of travel to and from the railway station/airport for Swindon visitors and leadership team as required.- Liaise with suppliers where necessary.- Manage requests/queries for meeting rooms/desk booking and SignIn reports.- Ensure the office is clean and tidy, checking kitchen areas, meeting rooms and communal areas.- Coordinate ordering of lunch for visitors and meetings / to include raising purchase orders.- Assist with the booking and access control systems.- Support on business projects/initiatives as required.- Support on administrative tasks as required by the Office Manager/Leadership Team- Ensure all logs are up to date relating to Car permits and Electric Charging- Assist and support the Office Manager on any other general day to day office duties.- Provide holiday cover for the Office Manager where required. Prepare and present regular progress reports, updates, and recommendations to senior leadership, highlighting achievements, challenges, and opportunities for improvement.
Knowledge and skills- Experience in a similar role.- Strong administrative and IT literacy skills (including Word, PowerPoint, Excel and Outlook)- Strong communication and interpersonal skills- Strong organisational skills with the ability to multi-task- Great time management skills- Professional approach- A positive, can-do attitude.- A reliable, adaptable, and outgoing individual
